Getting started
How do I change the language?
- Open any page of the dashboard, for example Home.
- At the top right, click the button with the globe. It shows EN, RU or KZ.
- Choose your language. The dashboard changes at once.
- The language changes only for you. It is also in the gear menu: All settings → Language and region → Dashboard language.
How do I switch to another branch?
- Open any page of the dashboard, for example Home.
- At the top left of the page, click your business name.
- Under Switch Company, click the branch you need.
- The page reloads and shows that branch's chats, customers and bookings.
- If the name cannot be clicked, you have only one branch.
How do I see new online bookings and orders?
- Open any page of the dashboard, for example Home.
- At the top right, click the bell button. A number on it means something new.
- Open the Bookings and orders tab.
- Click a booking or an order to open it.
How do I tick off a task?
- Open Home.
- Under Today, find the Tasks column.
- Click the circle next to the task. The task is done and leaves the list.
- Under Worth a look, press Add to tasks to keep a tip as a task.
What is in Nexis: the sections of the dashboard
Nexis keeps your customers, chats, bookings, stock and money in one place. The menu on the left has these sections:
- Home — today's numbers, bookings, new leads and tasks.
- Chats — WhatsApp conversations with customers, your numbers and saved replies.
- AI & automations — the AI assistant, its knowledge base and automations that run on their own.
- BioSite — your public page: design, links, and the services and products customers see.
- Menu & orders — menu, orders and delivery for cafes and restaurants.
- Checkout — sales at the counter, receipts, refunds and cash shifts.
- Warehouse — stock, supplies and product sales.
- Calendar — bookings, services and your team's schedule.
- Customers — everyone you work with, and who needs a reply next.
- Finance — what came in, what went out and what is left, month by month.
- Integrations — WhatsApp, Instagram, Telegram, online payments (Stripe, PayPal and, in Kazakhstan, Kaspi Pay), CRM systems and other services, plus data exports.
Home, Chats, AI & automations, BioSite, Customers, Finance and Integrations are always in the menu. Calendar and Warehouse can be switched off. Menu & orders and Checkout appear only when they are switched on for your business. You change this in Menu sections (see "Show or hide sections in the menu").
A team member may see fewer sections: the person who added them chooses which sections they can open.
First steps: sign-up and business setup
Create your account
- On the sign-in page press Start your 7-day free trial.
- Enter your work email and a password: 12–128 characters with an uppercase letter, a lowercase letter, a number and a symbol.
- Tick that you are at least 13, accept the terms and press Create account.
No payment is taken at sign-up. We also email you a link to confirm your address.
Set up your business
Right after sign-up Nexis walks you through three short steps. Everything can be changed later.
- Your business: name, business type, country and city. The currency is filled in from your country; press Change to pick another.
- What you offer: tick what you sell, describe your business and answer What else does your business do? (for example We work by appointment or We sell products).
- Opening hours: working days, opening and closing time, and your time zone.
Recommended sections
Under Recommended sections Nexis shows the menu it will switch on for you, based on your answers. All sections are free. Remove one with ×, or press Add more to add a section that is missing. Chats, AI & automations, BioSite, Customers and Finance are always on.
Press Finish setup. On the next screen you can publish your BioSite, set up the AI assistant or connect WhatsApp, or press Go to dashboard.
If you were invited to a team, the owner, an administrator or a manager completes this setup.
Show or hide sections in the menu
You can change which sections are in the menu at any time. All sections are free, and nothing is deleted when you hide one.
- Click the gear icon in the top bar (Account and company).
- Choose All settings.
- Open Menu sections.
- Use the switch next to Warehouse, Calendar, Menu & orders or Checkout.
The change is saved at once and applies to the whole team. A hidden section keeps its data: switch it back on and everything is where you left it.
Chats, AI & automations, BioSite, Customers and Finance are always in the menu and cannot be hidden. Home and Integrations are always there too. Sections marked Coming soon are still being built and cannot be switched on yet.
Only the owner, an administrator or a manager can change this list. Other team members see it, but their switches are locked.
To limit what one person sees, use their Access in Team instead (see "Add a team member").
What the colours mean
Nexis uses the same colours across the dashboard, always next to a word or an icon:
- Lime — all good, nothing to do. The AI is answering, or the customer has paid.
- Orange — time is running: a customer is waiting for a reply.
- Pink — needs you now. The AI handed the chat to a person, or a reply is overdue.
- Blue — a person is handling it; the customer is in dialog with your team.
- Light blue — booked, on the calendar. A visit is coming up.
- White — new, nothing has happened yet.
- Black — done or closed.
- Grey — cancelled or lost.
Where you see them
- Chats: each chat shows who is on it: Needs you (pink), Waiting for a reply (orange), AI is answering (lime), You are answering (blue), Done (black).
- The chat panel: the stage track (New Lead → In Dialog → Booked → Paid → Completed) fills in the colour of the current stage.
- Customers: the stripe on a card shows what to do next: pink to act now, orange when time is running, light blue for a visit today or within 24 hours, lime when all is on track.
- Charts on Home: lime is fine, orange needs watching, pink is a problem (for example, sold out or a no-show).
Home: your day at a glance
Home is the first page you see. From top to bottom:
Get your workspace ready
Until setup is finished, a checklist shows what is done and what is next: business profile, services or products, opening hours, BioSite, WhatsApp and the AI assistant. It disappears when everything is done.
Key numbers
Up to four tiles, for example money in over the last 14 days, unread conversations, payments or sales in 30 days, customers and today's appointments. Click a tile to open its section. Money figures are shown only to the owner, administrators and managers. The Record a payment button at the top (Record a sale for shops and cafes) adds money in one step.
Today
Four columns:
- Bookings — appointments left today.
- New leads — new customers from the last 24 hours.
- Reply or follow up — customers waiting for an answer, or chats that went quiet.
- Tasks — today's tasks; tick the circle to complete one.
Below them, Worth a look suggests what to check: a past visit that is still not closed, an overdue invoice, a customer who paid before but has not come back for 60 days or more, or a working day tomorrow with no bookings. Press Add to tasks to keep one.
This month's targets
- Press Set targets.
- Fill in goals for revenue, visits, new customers and customers won (and visits per specialist).
- Press Save.
The bar shows whether you are on pace. Only the owner and administrators can set targets.
Charts further down appear only when they have something to show.
Several businesses or branches
One Nexis account can hold several businesses or branches. Each has its own customers, chats, bookings and BioSite page.
Switch to another branch
- Click your business name on the left of the top bar.
- The Switch Company list shows your branches and how many your plan allows (for example 2/3).
- Click a branch. The page reloads and shows its data.
Add a branch
- Open the same list and press Add Branch.
- Fill in Branch Name, City and the page address (lowercase Latin letters, numbers and hyphens).
- Press Save. The new branch is added to the list.
A new branch gets the same plan, time zone and currency as the current one. The button is shown only to administrators and managers, and only while you are under your plan's limit: Starter 1, Pro 3, Agency 15 sites. During the free trial the Starter limit applies.
Who sees which branch
The owner and administrators can open every branch of the account. Other team members work in the branch they were added to. Team seats are counted across all branches together.
If your business name cannot be clicked, you have one branch and cannot add more.
Chats and WhatsApp
How do I connect my WhatsApp?
- Open WhatsApp connection.
- Press Get QR code. A square code appears on the screen.
- Take the phone with your business number and open WhatsApp.
- On the phone, tap Settings (or ⋮) → Linked devices → Link a device.
- Point the phone's camera at the code on the screen.
- Wait until the page shows Connected and your number.
- Old chats are not copied. Only new messages come in.
How do I reply to a customer?
- Open Chats.
- In the list on the left, click the customer's name.
- Click the box at the bottom and type your message.
- Press Enter or the arrow button to send it.
- When you reply yourself, the AI stops answering in this chat. To give the chat back, turn AI replies on.
Mailings: one message to a group of customers
Open Chats → Mailings.
- Under Who gets it pick a group: a ready idea (we miss you, birthdays this month, recent customers) or your own mix of activity, tags, stage and amount spent.
- Write the Message. Press Insert the customer’s name to greet each one by name. The preview shows how it looks in WhatsApp.
- Press Send to {n} customers and check the text once more.
- Only customers who agreed to news and offers get it. Tick the consent in their card when they agree.
- Every message ends with how to stop them. Whoever writes STOP gets no more.
- Messages go out one by one, only from 10:00 to 20:00, at most 200 per mailing and 3 mailings a day. A customer gets at most one mailing in 3 days. This keeps your WhatsApp number safe.
- Answers come to Conversations. A mailing is never sent on a schedule or by the AI.
- Mailings are available on Pro. They stay closed during the free trial: sending opens once you choose Pro. Booking confirmations, reminders and review requests work on every plan.
How do I find a chat?
- Open Chats.
- In the search box above the list, type the customer's name, phone number or a word from the message.
- Or press a filter under it, for example Unread, Needs human or My chats.
- If the list is empty, press Show all conversations.
- Closed chats are hidden. To see them, choose Done in the drop-down list under the filters.
How do I answer a chat myself instead of the AI?
- Open the chat in Chats.
- Above the reply box, turn off AI replies.
- Write your answer and press Enter.
- When you are done, turn AI replies on again. The AI answers from the customer's next message.
- Sending your own reply also turns the AI off in this chat by itself.
How do I close a finished chat?
- Open the chat in Chats.
- At the top of the chat, press Mark as done.
- To open it again, choose Done in the drop-down list above the chats.
- Click the chat and press Reopen above the reply box.
How do I give a chat to a colleague?
- Open the chat in Chats.
- At the top of the chat, open the Assigned to list.
- Choose your colleague.
- Your colleague finds the chat with the My chats filter.
- Team members who are not owners or administrators see Assign to me and Release this chat instead of the list.
How do I change a customer's stage from a chat?
- Open the chat in Chats.
- In the customer card on the right, find Stage.
- Click the stage you need, for example Booked.
- The change is saved at once.
- The card is shown on wide screens. On a small screen, press Open customer under the chat.
How do I mark that a customer bought?
- Open the chat in Chats.
- Find Sales outcome next to the chat.
- Press Sold, or Not sold if the customer did not buy.
- Later, find these chats with the Sold filter.
- This does not record money. To record the payment, press Record payment above the reply box.
How do I add a person from a chat to my customers?
- Open the chat in Chats.
- Press Add to CRM. It is on the right, or under the chat on a small screen.
- The customer card appears. Press Open customer to see the full card.
- If you do not see Add to CRM, this person is already your customer.
How do I record a payment while chatting?
- Open the chat in Chats.
- Above the reply box, press Record payment.
- Choose how the customer paid, for example cash, card or bank transfer.
- Type the amount in Payment Amount.
- Press Record Payment, then Done.
- The receipt text is now in the reply box. Press Enter to send it to the customer.
- Always check the amount: the box may already have a number in it.
How do I let the AI write a reply for me?
- Open the chat in Chats.
- Above the reply box, press Suggest reply.
- Wait a few seconds. A draft appears in the reply box.
- Read it and fix anything that is wrong.
- Press Enter to send it.
- Nothing is sent until you press Enter. This works once your AI assistant is set up.
How do I save a reply I send often?
- Open Saved replies.
- Press New reply.
- In Name, write a short title, for example "Address".
- In Text, write the message.
- Press Save.
- Put words that change each time in [brackets] and fill them in before sending.
How do I send a saved reply?
- Open Saved replies.
- Next to the reply you need, press Copy.
- Open the chat in Chats.
- Click the reply box and paste the text (Ctrl+V, or press and hold, then Paste on a phone).
- Change the words in [brackets] and press Enter.
- To remove a saved reply, press the bin icon next to it.
How do I add another WhatsApp number?
- Open WhatsApp connection.
- Under Add a number, type a name, for example "Second branch".
- Press Add number.
- Press Get QR code and scan it with the phone of the new number.
- Wait until you see Connected.
- How many numbers you can add depends on your plan. Only owners and administrators can add numbers.
- Starter has 1 WhatsApp number. Pro has up to 3 numbers per site and 6 in total.
How do I choose who can answer from a number?
- Open WhatsApp connection.
- Under Your business numbers, click the number.
- Open Name, access and AI.
- Under Who can use this inbox?, tick the staff who may answer.
- Press Save access.
- Here you can also rename the number in Number name. Owners and administrators always see every number.
How do I disconnect or change the WhatsApp number?
- Open WhatsApp connection.
- Under Your business numbers, click the number.
- Press Disconnect, then Confirm.
- To link another phone, press Get QR code and scan it with that phone.
- Chats you already have stay in Nexis.
Connect your WhatsApp number
Nexis links to WhatsApp the same way WhatsApp Web does: you scan a QR code with the phone that has your business number. After that, new customer messages arrive in Chats.
- Open Chats and go to the WhatsApp connection tab (open it).
- If you have several numbers, choose the one to link under Your business numbers.
- Press Get QR code.
- On your phone, open WhatsApp → Settings (or ⋮) → Linked devices → Link a device, and scan the code.
- Wait until the status shows Connected and your number.
A short video on the page shows the steps on the phone. If the code expires before you scan it, press Get QR code again.
Good to know
- Old chats are not imported. Only new messages appear. To test, write to your number from another phone.
- Only direct chats work. Groups are not included.
- This is an unofficial WhatsApp Web link, not the WhatsApp Business API. Automatic replies carry a risk that WhatsApp restricts the number, so use a separate business number, not your personal one.
- Keep the QR code private: it gives access to your account.
- Refresh status checks the link again. Disconnect unlinks the number.
The Chats page: list, filters and labels
Chats shows every WhatsApp conversation: the list on the left, the conversation in the middle and, on wide screens, the customer card on the right.
Top of the page
The row at the top shows your WhatsApp number, the AI auto-reply switch and three counters: Unread, Handled by AI today and Needs a human. Click a counter to filter the list.
Finding a chat
- Search by name, phone number or the latest message.
- Quick filters: All, Unread, Needs human, AI handled, Sold and My chats.
- The drop-down shows Needs attention (the default, every chat that is not closed), All conversations, Open conversations, On hold or Done.
Labels on a chat
A chat gets a label only when it needs your eye. While the AI is answering, there is no label.
- Needs you (pink): the AI handed the chat to you. The reason is shown above the reply box.
- Waiting with the time (orange): the customer wrote last and nobody has answered yet.
- You are answering (blue): the AI is off for this chat and your team replies.
- Done: the chat is closed.
A second chip shows the customer's stage, such as Booked or Paid. Assigned to you marks chats given to you.
Under each outgoing message you see who sent it: AI, Team or Automatic, and the delivery ticks.
Take over a chat from the AI and hand it back
Above the reply box of every chat is the AI replies switch. On: the AI assistant answers this customer. Off: your team answers, and the AI stays silent in this chat.
Take over
- Open the chat in Chats.
- Turn AI replies off, or simply send your own reply.
Sending a reply from Nexis switches the AI off for that chat by itself. The same happens when you answer from the WhatsApp app on your phone. The chat then shows You are answering.
Hand back to the AI
- Open the chat.
- Turn AI replies on again. The AI answers from the customer's next message.
When the AI hands over
If the AI needs a person, it usually tells the customer that a team member will reply and stops answering in that chat. The chat gets the pink Needs you label.
- Read the reason above the reply box.
- Answer the customer.
- If you want, switch AI replies back on.
Close a chat
- When the conversation is finished, press Mark as done at the top of the chat. The chat now shows Done.
- To open it again, press Reopen. It is above the reply box, where the switch was.
The switch in a chat works only while AI replies are on for the business and for this number.
The customer card next to a chat
On wide screens, the right side of Chats shows the customer you are talking to. The top-right corner of the card has the colour of the customer's stage, the same as on the Customers board.
Stage
The Stage track shows the customer's path: New Lead → In Dialog → Booked → Paid → Completed.
- Click the stage you need. The customer moves there, and the change is saved at once.
If the customer has a deal value, it is shown as Deal value next to the track.
Visits
- Next visit shows the date, service and specialist of the next booking. Click it to open the Calendar.
- With nothing booked you see No visit booked and Book a visit, which opens the Calendar.
- Below that: how many visits the customer has had and the Last visit.
Sale outcome
- Under Sales outcome, press Open, Sold or Not sold.
- Later, find sold chats with the Sold filter.
This marks how the conversation ended; it does not record a payment.
Other buttons
- Open customer opens the full card in Customers.
- If the person is not in your customer list yet, press Add to CRM.
On smaller screens, Open customer and the sale outcome buttons appear under the conversation.
The floating chat button
On every dashboard page except Chats, a round chat button sits in the bottom-right corner. The number on it shows how many chats are unread. The button appears once your business has a WhatsApp number in Nexis.
- Press the button. It opens the last chat you had open, or the newest one.
- To switch to another chat, click the customer's name at the top. A list of recent chats opens; All chats takes you to Chats.
- Type a reply and press Enter to send it.
What is inside
- Who is answering, with the same labels as in Chats, such as Needs you or You are answering.
- The Customer section with the stage track and the next visit. Click its title to fold it away.
- The AI replies switch, so you can take over or hand the chat back right there.
The arrow button at the top (Open in Chats) opens the same conversation on the full Chats page. Press the cross or Esc to close the window.
Several WhatsApp numbers and team access
You can link more than one WhatsApp number, for example one for sales and one for a second branch. How many you can add depends on your plan; the counters on the page show how many are used. Owners and administrators manage numbers.
Add a number
- Open Chats → WhatsApp connection (open).
- Under Add a number, type a name such as "Main branch" and press Add number.
- Scan the QR code for the new number.
Who can use a number
- Choose the number and open Name, access and AI.
- Under Who can use this inbox? tick the staff who may answer from it.
- Press Save access.
Owners and administrators always see all numbers. Staff see only the numbers given to them.
AI on one number
In the same block, AI replies on this number has a Turn off or Turn on button. When it is off, the AI stays silent on this number only; other numbers are not affected.
In Chats
With two or more numbers, Chats offers Combined inbox (one list, each chat has a coloured number badge) and Separate inboxes (one number at a time). Replies always leave from the number that received the chat.
Remove number works only for a number that is disconnected.
Starter has 1 WhatsApp number. Pro has up to 3 numbers per site and 6 in total.
Reply faster: suggestions, ready texts and payments
Above the reply box in Chats there is a row of buttons. None of them sends anything by itself: they put text into the reply box, and you decide when to send.
- Suggest reply: the AI assistant reads the customer's last message and the recent conversation and writes a draft. Check it, edit it, then send. If the assistant thinks a person should answer, it says so. This works once your AI assistant is set up.
- Booking link, Review request and Location: each adds one short standard line. The lines are general, in English, and do not contain your real link or address, so edit them before sending.
- Saved replies: opens the Saved replies page. Keep texts you send often there, for example directions or a review request. Press Copy and paste the text into the chat. Words in [brackets] are for you to fill in.
- Record payment: opens a payment form with the customer's name and phone already filled in. Choose how the customer paid, check the amount and description, and record the payment. It is saved to Finance and to the customer's card, and the receipt text is placed in the reply box so you can send it.
AI assistant
How do I create the AI assistant?
- Open AI assistant.
- Press Create agent.
- Check the Name. Only your team sees it.
- Under What should it do?, tap what it should do, for example Answer questions.
- Choose Languages and Tone.
- Press Create assistant.
- This is a draft. It answers customers only after it is published: see Turn AI replies on or off.
How do I try the AI assistant before customers see it?
- Open AI assistant.
- On your assistant's card, press Open agent.
- Press Test chat.
- Type a question the way a customer would, and press the arrow button.
- Read the answer. Nothing is sent to real customers.
- If Test chat is grey, press Save draft first.
How do I stop the AI answering all customers at once?
- Open Chats.
- At the top, find AI auto-reply.
- Turn the switch off. The AI stops answering on all numbers.
- To start it again, turn the switch on.
- Only owners and administrators can use this switch. It works once an AI assistant is published.
How do I teach the AI a new answer?
- Open Knowledge base.
- Scroll down to Add your answers.
- In Question, write what customers ask, for example "Is there parking?".
- In Answer, write your answer.
- Press Add answer.
- The AI uses it from the next message. Nothing else needs to be pressed.
How do I change or delete an answer the AI uses?
- Open Knowledge base.
- Under Add your answers, find the answer.
- To change it, press the pencil icon, edit the text and press Save changes.
- To delete it, press the bin icon and confirm with OK.
How do I send booking confirmations automatically?
- Open Automations.
- Under Messages to your clients, turn on Confirm every booking.
- For a reminder on the day of the visit, turn on “Are you coming today?” on the day.
- Press See the message to read what the client gets.
- Messages go out only when WhatsApp is connected and you have a paid plan. Only the owner or an administrator can change them.
How do I ask the AI about my business?
- Open Ask AI, or click the bar at the top that says How can I help your business? (on a phone, tap the sparkle button).
- Type your question, for example "Who is booked tomorrow?", and press Enter.
- Read the answer.
- If the AI prepares a booking, expense, customer or task, check the card and press Confirm, or Cancel.
- New chat starts a fresh conversation. Ask AI never writes to customers.
How the AI assistant answers customers
When AI replies are on, the AI assistant answers WhatsApp customers by itself. For each message it reads the recent conversation, so it understands questions like "how much is it?" about the item just discussed. It replies in the customer's language if that language is turned on for the assistant.
What it knows
It reads your business data live, for every message:
- company details, opening hours and holidays;
- services, prices and specialists, including their days off;
- products, stock and sizes;
- your BioSite links, address and contacts;
- delivery areas and fees, and payment options;
- your answers in the Knowledge base.
If booking is one of its jobs, it looks up free times and books the customer. It only offers times the calendar really has free.
Rules it always follows
- A customer who writes STOP gets no more automatic replies in that chat.
- A request for a manager, urgent words or a complaint go to a person.
- Refunds, legal and medical questions always go to a person.
- Private business data is never shared.
- If it cannot answer with confidence, it hands over instead of guessing.
When it hands over, the customer is told that a team member will reply, and the chat shows Needs you in Chats.
The knowledge base: teach the AI about your business
Open AI & automations → Knowledge base (open). The page has three parts.
1. It already knows this
The AI reads your company details, opening hours, services and prices, team, BioSite, products and stock straight from the dashboard. Each line shows what is filled in and has a Change link to the right page. Change something there and the AI knows it at once. A business without the Calendar (a shop) changes its hours and people in Settings: see opening hours without the Calendar.
2. Answer quick questions
Tap ready answers on everyday topics. Everyone gets Payment, Extras and How the AI talks (tone, how to address customers, emojis). The rest depends on your business:
- a salon or other service: Getting here and Booking rules;
- a clinic: also Before the visit (what to bring, preparing for tests, insurance, results);
- a café or bakery: Food and the place (tables, halal, menu, allergies, banquets) and delivery;
- a clothes shop: In the shop (fitting, sizes, holding an item) and Delivery and returns; other shops are asked about testers, originals and expiry dates instead;
- a blogger or online course: Collaborations and access (ads, access after payment, refunds), without Getting here;
- with the Classes section: Classes and passes (trial class, levels, what to bring, freezing a pass).
Each answer saves by itself, and the AI tells customers exactly this. See also how the AI works for your kind of business.
3. Add your answers
- Write a question customers often ask, for example "Is there parking?", or tap one of the suggested questions.
- Write your answer.
- Press Add answer.
The AI uses it from the next message; nothing needs to be published. Use the pencil icon to change an answer and the bin icon to delete it.
The page also shows what the AI understands besides text (photos and voice messages) and what it never shares with customers.
Photos and voice messages from customers
Customers often send a photo of a hairstyle or a price list, or record a voice message. Nexis turns these into text that the AI and your team can read in Chats.
- A photo shows as "[Photo]" with a short description of the picture, including any readable text in it. The customer's caption is kept.
- A voice message shows as "[Voice message]" with what the customer said, word for word.
The AI then answers as if the customer had typed it.
When it works
It works when your AI assistant is published and the AI service is set up on the Nexis server. JPEG, PNG and WEBP photos and common voice formats are read; very large files are not. The file itself is not stored, only the text.
When it cannot read the file
Then the chat shows a placeholder instead of the text. The AI tells the customer that it can only read text and that a team member will look at the attachment, and the chat gets the Needs you label with the reason. Open the file in the WhatsApp app on your phone.
The AI never identifies people in photos and never guesses their age, health or other personal traits.
How the AI works for a clinic, café, shop or blogger
The AI takes your business type from your company profile and answers like someone who works there.
Clinic, dentist, therapist, vet
- Helps with services, prices, doctors, hours, preparing for tests and appointments.
- Never diagnoses, never comments on symptoms or test results and never recommends medicines: it offers an appointment instead.
- If someone describes an emergency, it answers at once, at any hour: call the emergency number of your country (from Settings → region; if no country is set, "your local emergency number"). For a pet: call the clinic or come in now. Then the chat goes to your team.
Café, restaurant, bakery
- Answers from your menu, delivery areas and hours.
- Allergens, ingredients and halal only from your answers in the Knowledge base; if they are not there, it checks with your team.
Shop
- Helps choose: sizes and stock per size, originals, holding an item, returns.
- It does not take orders itself: it sends the link to your BioSite basket and explains delivery and payment.
Blogger or online course
- Passes advertising and collaboration offers to you, never naming a price you did not give.
Everyone
- The AI never shares revenue, salaries, suppliers or other clients’ details.
- When it is not sure, it passes the chat to a person instead of guessing.
What the AI never tells customers
The AI uses your business data to answer customers, but some of it stays private. The AI never discusses with customers:
- revenue, profit and sales figures;
- salaries, costs and purchase prices;
- suppliers and bank details;
- other customers: their names, phone numbers, bookings or orders;
- staff personal contacts.
If a customer asks about this, the AI politely says it cannot share internal business information and offers help with services, prices, booking or an order. Clear questions of this kind are caught by a fixed rule before the AI writes anything.
There is one more check before a reply is sent. If the reply contains a phone number that is neither your business number nor the customer's own, it is not sent, and the chat goes to your team instead.
The AI also never reveals its own instructions.
You can see this list on the Knowledge base page under Never shared with customers.
Ask AI, the bar at the top of the dashboard, is a different assistant for you and your team. It never writes to customers and shows money figures only to people whose role allows it.
Turn AI replies on or off
The AI answers a chat only when all of these are on.
1. The assistant in Agent Studio
- Go to AI & automations → AI assistant (open) and open your assistant.
- Press Publish changes. The window lists every check: each one must say Ready. A check marked Blocked says what to do first.
- Press Publish changes in that window.
Pause agent stops a published assistant, Resume starts it again.
2. The whole business
At the top of Chats, the AI auto-reply switch pauses or resumes automatic replies at once, on all numbers. It works only after an assistant has been published, and only owners and administrators can change it. During the free trial the AI answers real customers while the trial’s free AI lasts.
3. One number
- Open WhatsApp connection and click the number.
- Open Name, access and AI.
- Under AI replies on this number, press Turn off or Turn on.
With Separate inboxes in Chats you can also press Turn off for this number.
4. One chat
Use the AI replies switch above the reply box. When you send a reply yourself, from Nexis or from your phone, the AI switches off for that chat by itself. Turn it on again to hand the chat back.
A customer who writes STOP also stops automatic replies in their own chat.
Ask AI: your assistant inside the dashboard
The bar at the top of the dashboard says How can I help your business?. This is Ask AI, an assistant for you and your team. It never writes to customers. Press Ctrl+K (⌘+K on a Mac) to jump to it; on a phone, tap the sparkle button. There is also a full page: AI & automations → Ask AI (open).
What you can ask
It answers from your own records: today's bookings, bookings for the coming days, services, the team, stock that is running low, the number of customers and unread chats. Owners, administrators and managers can also ask about money: income, expenses, profit, the comparison with last month, the best day and top clients. Others are told that only the owner or a manager can see money figures.
"Make a report for this month" gives a short summary and a button that opens the full report in Finance.
What it can do
It can prepare:
- a booking;
- an expense (only for people who can see money);
- a new customer;
- a task or reminder for the team.
Each one appears as a card. Nothing is saved until you press Confirm; Cancel drops it. It cannot send messages, record payments, refund or change settings: for those it gives you a button to the right page.
AI can be wrong, so check the card before you confirm. New chat starts a fresh conversation.
Automatic WhatsApp messages: orders, visits and reviews
Open AI & automations → Automations. Under Messages to your clients you see only the messages that fit your business, each with a switch and See the message.
Orders (shops and cafés)
- Confirm every order: right after an order on your BioSite the client gets the items, total and pickup or delivery time. YES confirms the order, NO cancels it.
- “Your order is ready” and “on its way”: when you mark an order ready for pickup or hand it to a courier.
- “It’s back in stock”: a client who asked to be told about a sold-out size gets one message when it is back. It is always on, because the client asked for it.
Visits (salons, clinics, studios)
- Confirm every booking and “Are you coming today?” on the day. See WhatsApp booking confirmations.
Reviews (everyone)
- Ask for a review: one question "How did you like it? 1 to 5" after an order or a visit. See The automatic review question.
A shop has no Calendar, so it does not see the visit messages. A salon that starts selling products gets the order messages too.
- Messages go out only when WhatsApp is connected and you have a paid plan. Only the owner or an administrator can change them.
The AI assistant takes orders in the chat
Open AI & automations → AI assistant and turn on Take orders in the chat (the customer confirms with YES). New shops and cafés have it on.
- The AI finds each item with its live price and stock, asks only for what is missing (size, quantity, pickup or delivery and address, day and time, name), repeats the order back and places it when the customer agrees.
- The order appears in your orders as new, with the note "Taken in the chat by the AI assistant". Prices, promotions, the regular customer discount and stock are worked out by the system, exactly as on your BioSite.
- The customer gets the order summary in the chat and confirms it with YES. What the order needs before you make it (a confirmation, a prepayment or full payment) follows your rule in Payments & promotions.
The AI places one order per message and never says an order is made unless it really was.

Every business gets its own booking page. Clients book there without calling you.
Find and share the link

- Chooses a date in the next 14 days.

What you get
The visit appears in the Calendar, and the client appears in Customers with the stage Booked. If WhatsApp is connected and booking messages are on, the client also gets the details in WhatsApp.
WhatsApp booking confirmations and reminders
Nexis can message each client about their visit from your own WhatsApp number, in the language they booked in. A shop or café gets messages about orders instead: see automatic messages by business.
The two messages
- Confirm every booking: right after booking, the client gets the date, time, service and address and is asked to reply YES or NO. If a deposit is needed, this message goes after it is paid.
- “Are you coming today?” on the day: at 9:00 on the visit day (and at least an hour before the visit) the client is asked again. It is sent only when the visit is on a later day than the booking.
YES confirms the visit. NO cancels it and frees the time, and the client gets a link to book another time. You see the answer in the visit details next to WhatsApp, for example Client confirmed in WhatsApp.
Switch them on or off
- Open Automations in AI & automations.
- Find Messages to your clients.
- Use the switch next to each message. See the message shows the exact text.
Only the owner or an administrator can change these switches.

Specialist ratings from clients

Ask a client for a rating
- In Calendar, open the visit.
- Press Ask for a rating in WhatsApp. WhatsApp opens on your device with a ready message and the client's personal rating link. Send it.
The button appears only when a specialist was chosen for the visit, the visit has started or is completed, and it was not cancelled.
The client opens the link, sees the specialist's photo and name, picks the stars and presses Send rating. Each visit can be rated once, and only after it has ended.
Where you see ratings

- In the visit details, under Specialist rating.
- In the Table view, next to the client's name.
Show or hide the stars
- Open Specialists.

- Tap Halal, Vegetarian, Vegan or Spicy if it applies.
- Under Contains allergens tick only what is really in the dish.
On your BioSite menu the marks show on the dish and the allergens under it. The AI assistant answers from these marks. Anything you did not tick is "I will check with the kitchen", never "free of", and for a serious allergy the AI always adds that the kitchen should confirm.

Low stock alerts and restocking
Each product with stock tracking has a Low stock alert at number. When the stock falls to that number or below, the product is marked Low stock; at zero it is marked Out of stock.
See what needs a refill
- Open Warehouse and stay on the Stock levels tab. The tiles at the top count low and sold-out products.
- Press Low stock or Out of stock to see just those products. In the Is your stock OK? chart you can also tap a colour to filter.
- Press All to see everything again.
- On the Home page, the Stock alerts card lists items that need a refill, with a link to the Warehouse.

- For a delivery, press the pencil on the product, change In stock (for products with sizes, the count of each size) and press Save changes.
- To change when the alert comes, edit Low stock alert at in the same window.
The Stock value tile shows what your stock is worth at cost price, so add a cost price to your products.
Supplies that services use up
Salons and clinics use up materials during a visit: hair dye, gloves, ampoules. Nexis can take them off the stock for you.
- In Warehouse, press Add product and choose Internal supply (used up, not sold). You can also link a product for sale.
- Enter the name, In stock, Unit (for example Milliliters or Grams) and Low stock alert at.
- Open Use up automatically during appointments. This part appears only when you have services in the Calendar.
- Enter the Amount used per appointment and tick the services that use this material.
- Press Add product (or Save changes when you edit).
When it is taken off
The amount leaves the stock once per visit, when the visit is completed: you press Complete on the booking in the Calendar, or the visit is paid at the Checkout. Paying for a visit that is already completed takes nothing more. A service sold at the Checkout without a booking also takes its materials. The stock never goes below zero.
Internal supplies are marked Internal supply in the list and are not shown on your BioSite. Low stock alerts work for them too, so you know when to reorder.
BioSite orders, the Sell button and the sales log
Open Warehouse.
Orders tab
Here are the orders clients placed on your BioSite. The filter buttons at the top are In progress (new and confirmed orders, shown first), Handed over, Cancelled and All. Each card shows the order code, status, Paid or Not paid, how the client chose to pay (On receipt, Bank card, Instalments or, in Kazakhstan, Online (Kaspi)) and the client's WhatsApp answer: Client confirmed, Client declined or Waiting for the client.
- Confirm marks a new order as confirmed.
- Mark paid: choose the payment method and press Paid. The sale is recorded: the stock goes out and the money goes to Finance. If the client paid by a link or a transfer, check that the money arrived first. Card payments through a connected online payment account are marked paid by themselves.
- Handed over completes the order and also marks it paid if it was not.
- Cancel order cancels it after you press Confirm. If it was paid, the sales are voided, the stock goes back and the payment is cancelled in Finance.
The Sell button

- Choose the customer, or tick Walk-in, no name.
- Choose the size, quantity, price, payment method and Where was it sold?.

- To cancel a wrong sale, press the button with a crossed circle in its row (on a phone: Void sale). The stock goes back and the payment is cancelled.
Excel and CSV downloads are available on Pro (and during the free trial).
Import and export products
Both buttons are in Warehouse, on the Stock levels tab.
Import
- Prepare a .csv or .xlsx file up to 5 MB. The first row holds the column names.
- Name the columns in English or Russian. Nexis looks for: name (Name, Название, Товар), price (Price, Цена), cost (Cost, Себестоимость), stock (Stock, Quantity, Остаток, Количество), alert level (Min, Alert, Порог), SKU (SKU, Артикул) and barcode (Barcode, Штрихкод, EAN). Only the name column is required.
- Press Import and choose the file.
- Check the list Nexis found and press the button with the number of products, for example Import 12 products.
Each row becomes a new product with stock tracking, shown in your BioSite catalogue. Without an alert column, the alert level is 3. Up to 500 rows are read. Categories, sizes and photos are not imported; add them by editing the product.
Import always adds new products and does not update existing ones, so importing the same file twice makes duplicates.
Export
- Press Export.
- Open the downloaded CSV file in Excel or Google Sheets.
- The file has every product: name, category, SKU, barcode, price, cost, stock, sizes, unit, alert level, whether it is visible on the BioSite, supplier and status.
- Exporting is available on Pro (and during the free trial). Importing works on every plan.
Moving to Nexis: opening stock per store and old supplier debts
Opening stock
Open Warehouse → Stock levels → More → Opening stock.
- Choose the store and press Download the list of products.
- Fill in Quantity (and Cost, if you know it). For several stores use the Store column, or upload one file per store.
- Press Upload the file, check what was found and what was skipped, then save.
It is saved as a stocktake marked "Opening stock": the numbers become exactly these. The cost goes to the cost price, not to Finance, because the goods were paid for before. Products that are not in the warehouse yet are added first with Catalog → Import.
Old supplier debts
Open the supplier's card in Suppliers, find Debt from before Nexis and press Add debt. Type the amount (in the supplier's currency), the pay-by date and a note. It shows as owed, is paid with Pay like any purchase and is flagged when late.
Add a product by asking the AI
Type in the Ask AI bar at the top: the product's name, price and, if you like, category, sizes and how many you have.
- The AI prepares a New product card. If the price is missing, it asks.
- Check the card and press Confirm. The product goes to the Catalog with its stock in the Warehouse.
Nothing is added until you confirm. A product with a name already in the Catalog is not added twice. For many products at once, attach a price list file to the same bar.

- New Lead: a new contact.
- In Dialog: you are talking.
- Booked: has an upcoming visit.
- Paid: has paid.
- Completed or Cancelled: the work is finished.
Some changes happen by themselves. A booking moves the customer to Booked. A payment for a visit moves them to Completed, other payments to Paid. If their only upcoming visit is cancelled, they go back to In Dialog.
List and board

Change a stage on the board
- Press Board at the top.

- Lime: on track.

The automatic review question
When it is sent

- Only to clients who ticked After the order, ask me how I like it (one WhatsApp message) at checkout or After the visit, ask me how it went (one WhatsApp message) on the booking page. The tick is off until the client chooses it.

- 4 or 5: the client is thanked, with a link to your reviews page (Google Maps, 2GIS or your review site) when it is on your BioSite.
- 1 to 3: the client is asked what went wrong, and the chat is marked for you in Chats with the score.
- A visit's score also counts towards the specialist's rating.
Only a reply that is just a number right after the question counts as a score. If someone wrote in the chat since, a "2" is taken as an answer to that.
Switch it on or off
- Open Automations.
- Under Messages to your clients, use the switch next to Ask for a review.
Finance and payments
How do I record an expense?
- Open Finance.
- In the Monthly report, press Expense.
- Under What for, pick a type such as Rent, or type your own.
- Enter the Amount and the Date.
- Check Repeats every month: on for bills you pay every month, off for a one-time cost.
- Press Save.
- A monthly expense is then added by itself on the same day each month.
Acts of completed work
Open Documents → Acts.
- Fill in Company details once: legal name, Tax ID, address, VAT and bank details (Bank, Account (IBAN), BIC / SWIFT). They go on every act.
- Press New act, pick the customer, and press Fill from what they paid to take their paid services for the period, or type the lines.
- Save, then Print to print or save as PDF. When both sides have signed, mark it Signed.
In Kazakhstan: form Р-1 and the ESF
In Kazakhstan the act follows form Р-1, and the company fields are BIN / IIN, IIK (account), BIK and KBe. Press ESF data: the turnover date, both BINs, the contract and each line with VAT, ready to copy. Issue the ESF on esf.gov.kz within 15 calendar days of the work date, with your EDS key, then write its number back here. Nexis does not send anything to the tax system.
Space for files in Documents: Starter 2 GB, Pro 20 GB (the free trial has 20 GB).
Taxes: set up your own and see what they come to
Open Documents → Taxes and press Add a tax.
- Type the Tax name and the Rate, %.
- Choose whether it is Taken from income or from profit (income minus expenses).
- Choose How often (every month, quarter, half-year or year) and when it is due, in days after the period ends.
Each tax shows the estimate for the current period, with arrows to look at earlier ones. Nexis does not assume any country's rules: the rates and dates are the ones you set. The estimate counts the money recorded in Nexis; money outside Nexis is not in it. Check the figures with your accountant before you file.
How do I change or stop a monthly expense?
- Open Finance.
- In the Monthly report, find the expense under Money out.
- Press Edit next to it.
- To change it, enter the new amount and press Save.

- Press Actions at the top.
- Press Quick Checkout.
- Choose how the client paid, for example Cash.
- Enter the Payment Amount.
- Fill in the Client Name and WhatsApp / Phone.

How do I remove a payment recorded by mistake?
- Open Finance on a computer.
- In the Monthly report, use the arrows to choose the month of the payment.
- In Payments recorded in Nexis, find the payment. The search box helps.
- Point at the row and press the bin (Remove payment from totals).
- Press Confirm.
- This does not send money back to the client. Product sales are undone in the Warehouse instead.
How do I download the monthly report for my accountant?
- Open Finance.
- In the Monthly report, use the arrows to choose the month.
- Press Excel. The file downloads to your device.

- Promo codes are available on Pro (and during the free trial).
How do I run a promotion like "buy 3, pay for 2"?
- Open Finance: the Payments & promotions page opens.
- Under Promotions and discounts, press Buy 3, pay for 2, Buy 2, pay for 1 or Discount %.
- Check the Name clients see.
- In On what, choose Whole shop, Categories or Products.
- Press Save in the bar at the bottom.
How do I let clients pay online on my BioSite?
- Open Finance: the Payments & promotions page opens.
- Under Ways to pay, turn on Bank card.
- Paste the Payment page link from your bank or payment service, for example Stripe or PayPal. If you like, fill in Bank or service (optional).
- Press Save in the bar at the bottom.
- Check that the money arrived before you mark an order paid. Payments through an account connected in online payments are marked paid by themselves.
- In Kazakhstan: you can also turn on Kaspi and paste your Kaspi Pay link (Kaspi Business → Kaspi Pay). It must start with https://kaspi.kz/.
Read your monthly report
Open Finance. The Monthly report is at the top of the Money tab. Use the arrows to switch months.
The three numbers
- Money in: payments recorded in Nexis — visits, sales, shop orders and paid payment links. Each number is compared with the month before.
- Money out: the expenses you add, plus expenses, bank fees and refunds from uploaded bank statements.
- Profit: money in minus money out.
Needs attention
This list shows visits marked done without a recorded payment, past visits that are still open, and unpaid shop orders. Click a line to fix it. For the current month you also see how many visits are still booked and roughly how much they bring.
Charts and details
- By month and By day charts.
- Where the money goes: expenses by type.
- How clients pay: money in by payment method.
- By specialist, By payment method and Top products.
Below the report, Payments recorded in Nexis lists every payment of the month. Excel downloads the report for your accountant, Print prints it.
Income from bank statements is not added to money in: it is mostly the same payments already recorded in Nexis.
On Starter the report shows this month and last month, without Excel or CSV downloads. Older months and downloads are available on Pro (and during the free trial).
Add expenses, once or every month
Profit is only right when your costs are in Nexis. Add them in the monthly report in Finance.
- Press Expense at the top of the report, or Add expense.
- Under What for, pick a type such as rent, salaries, taxes or utilities, or type your own.
- Enter the Amount and the Date.
- For bills that come every month, switch on Repeats every month. The expense is then added by itself on the same day each month. Rent, salaries, taxes, utilities, internet and loan payments switch it on for you; you can switch it off.
- Press Save.
Change or stop a monthly expense
- Press Edit next to the monthly expense.
- Change the name or the amount and press Save.
- To end it instead, press Stop repeating.
Changes apply from the next month; months already counted stay as they were.
Monthly expenses whose day has not come yet are listed under Coming this month. A one-time expense can be removed with the bin next to it.
Bank statements
Expenses from uploaded bank statements are added to money out too. If you typed an expense and the bank shows the same amount within 5 days, it is counted once.
Bonuses, a regular customer discount and gift certificates
Open Finance → Payments & promotions and find Bringing customers back. Turn on what you need and press Save.
Bonuses
- Part of every payment comes back to the customer as bonuses (1 bonus = 1 unit of your currency). You choose the share and how much of a receipt bonuses may pay.
- At the Checkout type the customer's phone: their bonuses show under the receipt. Type how many to spend, or press All.
- A refund gives back the bonuses that were spent on it and takes back the ones it earned.
Regular customer discount
- Levels such as "5% after 100 000 spent". The customer is known by their phone number.
- At the Checkout a button gives the discount in one tap. In your BioSite basket it is added by itself when they order with that number.
Gift certificates
- At the Checkout press Certificate, choose the amount and take the payment. The code is printed on the receipt; it works for 12 months.
- The customer pays with it at the Checkout (Pay with a gift certificate) or types it in the BioSite basket (Promo code or certificate). What is left stays on it.
- The list of certificates sold, and switching off a lost one, is in the same card.
Each customer's bonuses, discount and history are in their card in Customers under Bonuses and discount. The owner or a manager can Change by hand (a birthday gift, a correction).
Available on Pro (and during the free trial). On Starter nothing is deleted: bonuses, discounts and certificates are kept and work again when you switch to Pro.
Team pay: commission and payroll per person
Open Finance → Team pay.
- Services count for the person who did the visit. Goods count for the Seller chosen at the Checkout (it is remembered on that device). Refunds are taken off.
- Tap a person's pay line to set it: a fixed amount a month, a % of services and a % of sales.
- Mark as paid writes the pay to Finance as a Salaries expense for that month, so your profit includes it.
The people are the ones in Settings → Team. Only the owner, an administrator or a manager sees this page.
On Starter this page shows this month and last month. Older months are available on Pro (and during the free trial).
Record a payment taken in person
When a client pays you directly — cash, card terminal or bank transfer — record it, so it counts in Finance and on the customer card.
Where to start
- From a visit: open it in Calendar and press Accept Payment (POS / Card).
- From a customer card: in Overview, enter the amount and press Pay.
- From Customers: Actions, then Quick Checkout.
- From Home: Record a payment. Businesses that sell goods see Record a sale instead, which opens the Warehouse.
Fill in the payment
- Choose Cash, Card (POS terminal) or Bank transfer. Check the line Recorded as: it shows the method that will be saved. In Kazakhstan: Kaspi methods (Kaspi QR, Kaspi Gold, Kaspi Red, instalments or a Kaspi Pay link) are in the list below them.
- Check the Payment Amount, the client's name and phone. You can pick a service or product from the catalog to fill in the amount.
- Press Record Payment.
Send the receipt
- After saving, the receipt appears.
- Press WhatsApp: a chat with the client opens with the receipt text ready.
- Send the message.
The WhatsApp button appears only when a phone number was filled in. You can also copy or download the receipt.
A payment for a visit marks it Completed; a paid or cancelled visit cannot be paid again. To undo a mistake, use Remove payment from totals in Finance (this does not refund the client). This works during the free trial too.
Online payment links
A payment link lets a client pay by card online. The money goes straight to your own account with the provider; Nexis does not hold it.
Connect your provider once
- Open Integrations and choose Online payments.
- Pick Stripe, PayPal or CloudPayments, paste the keys from your provider account and press Connect.
- Check the status line. If it says Confirmations: paste the address below into your provider., copy the address shown and add it in your provider's settings, so Nexis learns about each payment.
Only the owner or an administrator can connect a provider. Clients pay in your business currency.
Create a link
- In Online payments, find Request a payment.
- Enter the amount and what it is for, for example "Deposit for Saturday".
- Press Create link, copy the link and send it to the client in WhatsApp.
The switch Accept card payments on my BioSite shop must be on; when it is off, you cannot create links.
After the client pays
The payment is added to Finance by itself. Recent online payments shows each link as Paid or Waiting. The link does not go out of date while it waits.
The same connection lets clients pay a deposit when they book online and pay by card in your BioSite shop.
Upload bank statements
Upload a statement to bring bank expenses, fees and refunds into Finance and to check payments against the bank.
- Download a statement from your bank or accounting program as PDF, Excel or CSV (in Kazakhstan, Kaspi and 1C statements work too). A PDF must be a text report, not a scan or photo.
- Open Finance and scroll to Bank statements.
- Press Choose files. You can pick up to 20 files, each up to 10 MB.
- Press Upload.
Lines that are already in Nexis are skipped, so uploading the same statement twice is safe.
What happens with the lines
- Expenses are added to money out, grouped by type from their description (rent, taxes, salaries and so on). Bank fees and refunds are counted too.
- Income is not added to money in: it is mostly the same payments you already recorded. The report shows it separately.
- If you typed an expense and the bank shows the same amount within 5 days, it is counted once.
Link a line to a customer
- In All transactions, find the line. The search and the Income, Expense and Refund filters help.
- In the client column, choose the customer, or No client.
Nexis only reads the file you upload and never asks for your bank password. Only the owner, an administrator or a manager can upload statements.

- Press Add a seat.

- Press Add.
Nexis shows the email and password: press Copy Access Info and send it to your colleague. We also email them an invitation with a link to set their own password; the link works for 7 days.

- Press Save.
Nobody can change their own access, and administrators always see everything.
Only the owner and administrators can add team members.

Team roles explained
You choose a role when you add a seat and can change it later in the Role & Tier column. On top of the role, Access limits which sections a person sees.
- Owner — full access, like an administrator. Only an owner can make someone an owner or change an owner's access.
- Administrator (Full Organization Access) — everything: team, plan and billing, WhatsApp connection, automations, integrations and monthly targets. Sees every section.
- Manager (Operations & Team) — day-to-day work plus Finance, deleting customers, CSV exports, setting up the AI assistant and its knowledge base, company details and menu sections. Cannot add, suspend or remove team members, change the plan, connect WhatsApp, change integrations, automations or targets, or make anyone an administrator.
- Operator (Chat & Support) and Specialist (Appointments & Tasks) — the same rights: chats, customers, bookings and tasks. Customer phone numbers and emails are hidden from them. No Finance, settings or exports; the AI assistant is view-only.
- Analyst (Reports & Insights) and Read-Only Viewer — can only look, never change. Today they can open the AI assistant's reports and the team notes; customer, chat and money data stays closed.
- Temporary Implementation — for someone who sets up your AI assistant. Works only with the AI assistant and its knowledge base and stops at the expiry you set (within seven days). Does not use a seat. Only owners and administrators can create it.
The first account of a business is an administrator.
On Starter you can give two roles: Administrator and Helper. The other roles, choosing a person’s cash registers, the activity journal, Day of the employee and staff comparison are available on Pro (and during the free trial).
Suspend or remove a team member
Do this in Settings → Team, in the Actions column of the person's row.
Suspend for a while
- Press Suspend.
- The status changes to Suspended. The person is signed out and cannot sign in.
While someone is suspended, their seat is free.
Let them back in
- Press Activate in the same row.
This needs a free seat on your plan; if all seats are taken, Nexis shows a message and the person stays suspended.
Remove for good
- Press the bin icon (Revoke Access).
- Confirm with Revoke Access.
The person's sign-in is deleted and they can no longer enter this workspace. Your customers, chats, bookings and other business data stay as they are. To give them access again, add a new seat.
Good to know
- You cannot suspend or remove yourself: your own row shows Current session.
- Only an owner can suspend or remove another owner.
- Only the owner and administrators can suspend or remove team members.

The owner, administrators and managers can save company details.

Invited by your team
A new team member gets an email with a link to Set your password. That link works for 7 days. You can also sign in with the password your administrator gave you. If your access is suspended, you cannot sign in until an administrator activates it again.
Sign out
- Press Logout in the top bar.
Add your consultants and manager (no seat needed)
Under Settings → Team, the card People in your business lists the people clients meet: a sales consultant, a manager, a cashier.
- Open the Team page.
- In People in your business, type the Name.
- Tap a ready Role, for example Sales consultant or Manager, or type your own.
- Press Add a person.
- The AI can tell clients who will help them, for example in a shop.
- They do not need a seat and cannot sign in. To give someone access to the dashboard, use Add a seat above.
- Clients cannot book them online. Masters clients book (a salon, a clinic) are added in the Calendar with their services.
- A person with upcoming bookings cannot be removed: move or cancel those visits first.
What is the message from Nexis at the top of my dashboard?
It is a message from the Nexis team. It is not from your customers, and your customers never see it.
What it can say
- News from Nexis: general news.
- New in Nexis: a new feature you can use.
- Important: something to do, often by a date.
What you can do
- Read the text. If there is a button, press it to open the right page.
- Press × to close it. It is closed only for you; your teammates close it for themselves.
- If there are several, the next one shows after you close the first ("2 more").
- A message can be meant only for owners and administrators, so not every teammate sees it.
- It shows even after your trial ends, so you do not miss news about your plan.
Integrations
How do I check that a connection works?
- Open Integrations.
- Find the card you need, for example WhatsApp.
- Press Test connection on that card.
- Green text means it works. Red text says what to fix.
- Refresh status at the top checks all cards again.
How do I make a QR stand that collects reviews?
- Open Integrations and find 2GIS reviews (it works with any review page).
- Press Create a shield. If you already have one, press New Location on the page that opens.
- Fill in Branch / Company Name, City, QR Short Link Slug and Maps / Reviews URL (the link to your page on Google Maps, 2GIS or your review site).
- Press Save.
- Press Print Display Card and put the printed card on your counter.
The Integrations page
Integrations collects all connections in one place, in groups: Messaging, AI & automation, CRM sync, Restaurants, Payments and billing and Reviews and data.
At the top you see how many integrations are connected and whether any need attention. Refresh status checks them all again.
Status on each card
- Connected: it works.
- Needs attention: it is set up, but something is wrong, for example the last sync failed or sync is switched off. The card says what.
- Not connected: not set up yet.
Buttons on a card
- Set up, or Manage once connected, opens the settings right on the card.
- Some cards open another page instead, for example Open WhatsApp or Open BioSite.
- Test connection checks the connection now and shows the result on the card, in green if it works and in red if not.
Your data
Under Data and workspace, Exports and backups lets you download your customers, appointments and conversations as CSV files at any time.
Bitrix24, Kommo, Pipedrive and iiko, and the CSV downloads, are available on Pro (and during the free trial).
Connect ChatGPT or Claude to Nexis
You can work with your Nexis data from ChatGPT, Claude, Claude Code or Cursor, for example: "Who is booked for tomorrow?" or "Add a new product".
- Open Integrations → AI assistants & automation → Set up.
- Under 1. AI assistants: ChatGPT, Claude, Claude Code, Cursor, copy the address.
- In your AI app, add a custom connector (MCP) with this address and choose OAuth.
- A Nexis page opens. Sign in with your own Nexis login and press Allow access.
Each person connects with their own login, and the AI app works with that person's permissions.
What it can do
- Read customers, WhatsApp conversations and bookings, and find free times.
- When you ask it to: add or change customers, book visits, create payment links, record in-person payments, manage products, warehouse stock, services, team, opening hours, the BioSite and menu sections, and switch a chat between AI and manual replies.
What it cannot do
It never writes to your customers. Your AI assistant and your team do that in Chats.
People with a view-only role can only read. For n8n, Make, Zapier or your own scripts, the same panel has API keys and webhooks. Only owners and administrators can open this panel.
Sync with Bitrix24, Kommo or Pipedrive
In Integrations, the CRM sync group has three cards. Open one with Set up.
Bitrix24 and Kommo
- Turn on Sync enabled.
- Bitrix24: paste the Bitrix24 inbound webhook URL (in Bitrix24: Developer resources → Other → Inbound webhook, with CRM permission). Kommo: enter the Kommo account address and a Long-lived access token, and choose the Default pipeline for new deals.
- Choose the Sync direction: Both ways (import and export), Import only or Export only.
- Tick Sync automatically when the CRM changes if you want it.
- Press Save settings, then Test connection on the card.
Sync now runs a sync at once and shows how many records were imported and exported. For instant updates, copy the address under Optional: instant updates from Bitrix24 (or from Kommo) into the webhook settings of your CRM; keep it private. Recent activity lists the last syncs.
Pipedrive
- Press Connect Pipedrive.
- Allow access on the Pipedrive page that opens.
- Back in Nexis, press Enable transfers.
New contacts, enquiries and bookings are sent automatically; older contacts are not. Existing Pipedrive contacts are matched by email or phone. Nexis sends the name, email, phone, enquiry title, booking service, time and status, but not message history. Pause transfers stops sending. Disconnect stops it for good; records already in Pipedrive stay there.
Bitrix24, Kommo and Pipedrive are available on Pro (and during the free trial).
Take card payments online
Online payments go straight to your own payment account. Only owners and administrators can connect one.
Connect
- Open Integrations → Online payments → Set up.
- Under Your payment provider, choose Stripe, PayPal or CloudPayments. A provider that does not support your business currency is greyed out.
- Paste the keys the panel asks for. It tells you where to find them in your provider's account.
- Press Connect.
Card payments are then on for your BioSite shop. If the panel shows a notification address, paste it into your provider's settings so payments are confirmed.
After connecting
- Accept card payments on my BioSite shop switches card payments on or off.
- Deposit for online bookings: choose No deposit, Percentage of the price or Fixed amount. Customers who book on your booking page pay it online, and the time is held for 30 minutes. Bookings your team makes are never charged.
- Recent online payments shows what is paid and what is still waiting.
Send a payment link
- Under Request a payment, enter the amount and what it is for.
- Press Create link.
- Send the link to the customer on WhatsApp. When it is paid, it appears in Finance.
In Kazakhstan: Kaspi Pay
In Kazakhstan, Kaspi checkout is set up by Nexis for your account, and in-person Kaspi payments can be recorded in Finance at any time. In other countries, use the payment provider above.
Use your own AI account
By default, Ask AI runs on the Nexis AI. You can connect your own AI account instead. You then pay your AI provider directly, Ask AI allows more questions per hour, and it can also look up conversations, customers, bookings and free times in your CRM.
- Open Integrations → Your AI account → Set up.
- Under Your AI provider, choose OpenAI, Claude, Gemini or OpenRouter.
- Use the Create an API key at… link to make a key in your provider's account.
- Paste it into API key. Model is optional: leave it empty to use the suggested model.
- Press Connect. Nexis first checks the key with a short test.
The key is stored encrypted and never shown again. Only owners and administrators can connect or change it.
Good to know
- A ChatGPT Plus or Claude Pro subscription cannot be connected. You need an API key, paid as you go. To use ChatGPT or Claude themselves with Nexis, connect them under AI assistants & automation.
- This account is used by Ask AI. Replies to your customers on WhatsApp do not use this key.
- Disconnect switches Ask AI back to the Nexis AI.
Instagram and Telegram
Nexis talks to customers on WhatsApp. Instagram and Telegram are not connected as chat channels: their messages do not arrive in Chats.
What you can do is link them from your BioSite:
- Instagram: add your Instagram profile to the BioSite. People who come from Instagram can then open your BioSite, book and message you on WhatsApp.
- Telegram: add your Telegram username as a contact button on the BioSite, so customers can write to you there. You answer them in Telegram itself.
Status on the Integrations page
On Integrations, the Instagram and Telegram cards show Connected when the link is on your BioSite and Not connected when it is not. Test connection only checks that your BioSite has the link. Open BioSite takes you to the page where you add it.
The AI assistant knows the links on your BioSite, so it can give customers your Instagram or Telegram when they ask.
Plan and billing
Plans and the free trial
Free trial
A new account starts with a 7-day free trial. No payment is taken at sign-up. During the trial you have the full Pro plan with every Pro feature and 150 free AI tokens; after it you choose Starter or Pro. Your plan and the trial end date are in the gear menu (Account and company) under Plan.
The trial works like a real business: you can link WhatsApp, publish your AI assistant, reply to customers, send booking reminders and record payments. Mailings to many customers at once stay closed until you choose a plan.
Plans
Paddle, our payment provider, shows the exact price, currency and taxes before you pay.
Every dashboard section is in every plan: Chats and the team inbox, the AI assistant with its knowledge base, Ask AI, BioSite with the online store and booking, the catalog, Calendar, Customers, Warehouse with suppliers, Checkout, Menu & orders, Delivery, Classes, Memberships, documents, Finance and online payments. The number of customers is unlimited. The plans differ inside the sections:
- Starter — everything to start on your own: 2 team seats (you and one helper with simple access), 1 site, 1 WhatsApp number, 200 AI tokens a month, 2 GB for documents, reports for the current and previous month without Excel export, booking reminders, and a BioSite with the "Made with Nexis" badge and standard colours.
- Pro — everything to grow: 5 team seats, up to 3 sites or branches, 3 WhatsApp numbers per site (6 in total), 750 AI tokens a month and 20 GB for documents. Pro adds loyalty (bonuses, discount tiers, gift certificates, promo codes), mailings and follow-up chains (win-back, repeat visits), the full report history with Excel export, team tools (activity journal, staff comparison, binding staff to a branch and cash register, roles with fine access), a BioSite in your own colours without the badge, the Bitrix24, Kommo, Pipedrive and iiko integrations, and priority support.
- Agency — an individual plan with the highest limits (up to 15 sites, and more seats and numbers), a personal manager and custom onboarding, agreed with you. Your exact limits are shown in Plan and billing.
1 AI token = 1 AI message to a customer or 1 AI action in your dashboard. When your monthly AI tokens run out, you can buy a token pack; each extra team seat costs $9 a month.
Choose a plan
- Gear icon → Plan and billing.
- Pick a plan and press View checkout →.
- Pay in the secure Paddle window. Access opens after Paddle confirms the payment.
Already paying for Starter? Switch to Pro in Settings → Plan and billing.
When the trial ends
We email you when 2 days or less are left, and once more after it ends. When it has ended, the dashboard shows Your trial or subscription has ended. and the plan buttons until you choose a plan.
Cancel your subscription
Your Nexis subscription is billed through Paddle, so you cancel it there, with a button in the dashboard.
- Click the gear icon in the top bar (Account and company) and choose Plan and billing. The same button is also at the bottom of the Settings page.
- Press Cancel subscription.
- Paddle's secure page opens. Check the details and confirm the cancellation there.
Opening the Paddle page does not cancel anything by itself. Your subscription is cancelled only after you confirm it in Paddle.
Good to know
- Only the owner and administrators can open this page.
- During the free trial there is nothing to cancel: no payment is taken unless you choose a plan.
- If the Paddle page does not open, the error message has a Paddle buyer support link.

Who sees what: roles and private data
Inside your team
- Sections. Each team member sees only the sections ticked in their Access. Home is always open. If they open the address of a closed section, Nexis sends them back to Home.
- Customer contacts. The owner, administrators and managers see phone numbers, emails, addresses and notes. For other roles these are hidden, and numbers or emails inside messages show as [number hidden] or [email hidden].
- Money. Finance, payments, customer documents and revenue on Home are open only to the owner, administrators and managers.
- Exports and deleting. Only the owner, administrators and managers can download CSV files or delete a customer.
- Details the AI assistant writes into a customer card are, by default, visible only to managers and above.
In chats with customers
The AI assistant does not share internal business information. If a customer asks about revenue, profit, salaries, cost or wholesale prices, suppliers, your bank account, other customers or staff phone numbers, the assistant politely refuses and offers help with services, prices, booking or an order.
The assistant also never sends a phone number that belongs neither to your business nor to that customer: such a reply goes to a person instead.
Export or delete your data
Download your data
- Open Integrations and scroll to Data and workspace.
- In Exports and backups, press Customers, Appointments or Conversations.
You get a CSV file that opens in Excel or Google Sheets. In Customers you can also download the customer list with Actions → Export CSV. Exports are available to the owner, administrators and managers.
Delete one customer
- Open the customer in Customers.
- Press Delete, then Delete Permanently.
This removes the customer card and their chats and messages. Bookings, sales and orders linked to them stay for your records, but without their name and phone number. It cannot be undone. Only the owner, administrators and managers can delete customers.
Delete everything
To delete your whole account or business data, email privacy@nexisdigital.tech with the subject "Data Deletion Request". Give the company name and the owner's email, but never send a password or card number. Nexis confirms the scope and timing in its reply. Backup copies are replaced automatically within three days. The full procedure is behind the Data deletion link at the bottom of the sign-in page.
Something is not working
How do I fix an appointment that will not save?
- Open Calendar.
- If Add appointment is grey, press Booking settings and add at least one service.
- If a red message appears in the window, read it: it tells you what to change.
- In Working hours, check that the day is switched on and the time is inside the hours.
- In Holidays & Days Off, check that the date is not closed.
- If the specialist is busy or off, pick another time or Any Available.
- In Kazakhstan: public holidays are closed even when they are not in your list.
How do I fix a customer card that shows no visits?
- Open Customers and click the customer.
- Open Appointments and check which visits are missing.
- Press Edit at the top.
- Write the Phone / WhatsApp exactly as in the visit, with the country code.
- Press Save Changes.
- A visit shows in the card only when its phone number is the same as the customer’s.
How do I contact Nexis support?
- Open any page of the dashboard, for example Home.
- At the top right, click the gear button.
- Choose Contact support.
- Press Write to us on WhatsApp, or Help center for guides.
WhatsApp is disconnected
Chats, AI replies and booking messages all go through your linked WhatsApp. If it is disconnected, nothing arrives or goes out.
Check the status
Open WhatsApp connection in Chats. If you have several numbers, pick one under Your business numbers. The status shows one of these:
- Connected with the phone number: all is well.
- Waiting for your phone…: scan the code.
- Not connected: link the phone.
- The connection needs attention. Disconnect, then link again.
Link the phone again
- If the status asks for it, press Disconnect first.
- Press Get QR code.
- On your phone, open WhatsApp → Settings (or ⋮) → Linked devices → Link a device, and scan the code.
- Wait until the status says Connected. Refresh status checks again.
Other notes you may see
- The connection dropped and is reconnecting by itself: just wait. A new QR code is needed only if WhatsApp logged this device out.
- Waiting for connection capacity, with your place in line: it starts by itself, and you can leave the page.
- The QR code was not scanned in time: press Get QR code again.
Also check that the phone has internet and that this device is still listed in WhatsApp → Linked devices. Connection diagnostics at the bottom shows more detail.
The AI assistant is not answering
Check from the top. Most reasons also show as a yellow note above your chats in Conversations.
- AI auto-reply at the top of Conversations must be On, not Paused or Off. A grey switch means no AI agent is published: publish one in AI assistant. Only an administrator can change it.
- AI replies in the chat: each chat has its own switch above the reply box. When your team writes in a chat, the AI stops there; switch it on to hand the chat back. A closed chat needs Reopen.
- The number: in WhatsApp connection, open Name, access and AI and check AI replies on this number. Press Turn on if it is off.
- WhatsApp must be connected.
- During the free trial the AI answers real clients while the trial’s free AI lasts (150 replies, up to 50 a day). After the trial ends, it stops until you choose a plan.
- AI hours: in Agent Studio, Settings tab, check Active schedule. Outside it the AI hands over or stays silent, as set in Outside hours.
- Limits: when the monthly reply budget is used up, or the AI sent many messages in a short time, chats get Needs a human with the reason. Reply yourself or raise the limit in Agent Studio.
- Add an AI key means the server has no AI key: contact support.
The AI also skips files and voice messages, clients who asked to stop automatic replies, and group chats.
The booking page shows no free times
If clients see no times, or a day is shown as closed, check these points in Calendar → Booking settings.
- Working hours: the day must be switched on. The whole service must fit before closing: a 90-minute service is not offered at 17:00 if you close at 18:00.
- Holidays & Days Off: your own non-working days are closed (in Kazakhstan, public holidays too).
- Specialists: when you have specialists, someone must do this service (Services Handled), be Shown, and work that day. Check their Own schedule and Days off. A specialist with no free time in the next two weeks is not offered. If nobody who is shown does this service, the client gets an error when confirming.
- The client must choose a service first: times appear after that.
- Fully booked: times taken by other visits are crossed out. An unpaid online deposit holds a time for 30 minutes.
Also good to know
- The page shows only the next 14 days.
- Times too close to now are not offered: by default a client can book at least 60 minutes ahead. Your team can still add a visit for now in the Calendar.
- If the booking page does not open at all, check that your Nexis plan is active.
Tip: press Open Booking Page and try the same service and day yourself.
BioSite changes are not showing
- Saved? If the bar Unsaved changes is at the bottom of the BioSite editor, press Save. Edits reach the public page only after saving.
- Published? At the top of the editor the switch must show Published. Draft means the page is hidden and visitors see "not found". Switch it on and press Save changes. A new page shows Not live yet until you press Publish page.
- Right address? Press Open public page or Copy link to be sure you are looking at your own page. The address is set in Public address. If you change it, old links still lead to the new address.
- Wait a moment and reload. Saving in the BioSite editor or changing products updates the page at once. Some other changes, such as service prices edited in the Calendar, can take about a minute: open the page, wait a little and reload it again.
- Booking button missing? Check Show online booking button in the editor.
If the page shows "not found" although it is published, check that your Nexis plan is active.
I can't sign in
"Incorrect email or password."
Check the email for typos and the keyboard language. If you do not remember the password, reset it:
- On the sign-in page, press Forgot password?
- Enter your account email and press Send reset link.
- Open the email and follow the link. It works for 60 minutes and only once. Check the spam folder too.
- Enter the new password twice and press Save password.
The new password needs 12 to 128 characters with a lowercase letter, an uppercase letter, a number and a symbol. After the change you are signed out on all devices; sign in again with the new password.
You can ask for a reset link up to 3 times an hour for the same email.
"Too many login attempts. Please wait 15 minutes."
After 10 attempts for the same email within 15 minutes, sign-in is paused. Wait 15 minutes, or reset your password: a successful reset lifts the pause.
"Your account has been suspended…"
This account is switched off. If you are a team member, the business owner or an administrator may have turned off your access: ask them. Otherwise contact Nexis support. A switched-off account does not receive reset links.
Common questions
Can I connect Nexis Business OS to Pipedrive?
The Pipedrive connector supports a one-way flow from Nexis Business OS to an authorised Pipedrive account. New enquiries can create a person and lead with a follow-up task; new bookings can create a person and activity. An owner or administrator must authorise and activate a ready connection. Test it with sample records first. Available on Pro.
Does Pipedrive integration sync my entire CRM in both directions?
No. The connector handles new records after activation, with booking updates where supported. It does not backfill your historical database or provide two-way CRM synchronisation. Existing Pipedrive contact fields are not overwritten. Chat history is not exported.
Which business software should I choose for a salon, studio or consultancy?
Start with your workflow: online booking, customer records, shared conversations and daily tasks. Nexis Business OS brings these functions into one workspace. During the trial, test a real service, a sample booking and a team handover. Compare the plan limits and separate AI costs with the tools you use today.
Can I try the system before moving all my customers?
Yes. Start with the 7-day trial and a small test workflow. Add a service, check opening hours, create a sample booking and review the result. Confirm channel permissions and any CRM connection before importing customer records or sharing your booking link widely.
Is Nexis Business OS a replacement for every feature in a large CRM?
No single product suits every workflow. Nexis Business OS focuses on service-business bookings, conversations and daily operations. If you need advanced sales reporting or a complex existing pipeline, evaluate keeping that CRM and connecting the supported Nexis Business OS workflow instead.
What is Nexis Business OS?
Nexis Business OS is an all-in-one app for small and medium service businesses such as beauty salons, cafés, restaurants and clinics. It combines online booking, a bio site, a client CRM, a WhatsApp inbox with an AI assistant, an online store, stock and checkout, café menu and orders, online payments and finance in one workspace. Plans start at $49.99 a month, with a 7-day free trial.
Is this just a CRM?
No. CRM is one part of Business OS, alongside bookings, a bio page, team tasks, an inbox and AI assistance.
Who is Nexis Business OS for?
Small and medium service businesses: beauty salons, barbers and nail studios, cafés, restaurants and other food service, clinics and wellness studios, shops and entrepreneurs who take bookings or orders and talk to clients every day.
What does it cost?
Starter is $49.99 and Pro $149.99 USD per month, less with annual billing. Every section is in every plan, including Checkout (POS), café menu & orders, Delivery, Classes and Memberships. Starter has everything to start on your own: 2 people, 1 branch, 1 WhatsApp number, 200 AI tokens a month, 2 GB of document storage, reports for the current and previous month, booking reminders and a BioSite with the “Made with Nexis” badge. Pro has everything to grow: 5 people, 3 branches, 6 WhatsApp numbers, 750 AI tokens a month, 20 GB, loyalty (bonuses, discount tiers, gift certificates, promo codes), mailings and follow-up chains, full report history with Excel export, team tools with roles and fine access, a BioSite in your own brand, Bitrix24, Kommo, Pipedrive and iiko integrations, and priority support. 1 AI token = 1 AI message to a customer or 1 AI action in your dashboard. Agency is an individual plan: limits, included add-ons and price are agreed with you. The only paid extras are AI token packs and extra people at $9/month each.
How does the trial work?
Create an account for a 7-day free trial of the full Pro plan, with every Pro feature and no payment at signup. The trial includes 150 free AI tokens, shared between AI messages to customers and AI actions in your dashboard. After the trial you choose Starter or Pro.
Can I connect WhatsApp and Instagram?
WhatsApp connects to the team inbox by QR code, the same way WhatsApp Web does, and customer messages arrive in Chats. Contact links remain separate from a connected inbox. Instagram works as a link on your BioSite; its messages do not come into Nexis. Threads messaging is not available. A social-profile link is separate from an inbox connection.
Can we keep our existing CRM?
NexisDigital’s Nexis Business OS includes connectors for Bitrix24 and Kommo on the Pro and Agency plans. Check supported records and field mapping, then test a few contacts before planning a full transfer.
What do I need to get started?
Start with your business name, services and opening hours. Add customer information and a booking or bio page as you need them. You can prepare your business data before connecting a messaging account.
What should I prepare for the AI assistant?
Prepare your services, prices and common customer questions. Add rules for when a person should take over, then test sample conversations before activation. Monthly AI tokens are included in every plan (1 token = 1 AI message or action); extra token packs are optional.
How does one Nexis Business OS link connect the customer journey?
Share the business link on a profile, website or QR code. Visitors can discover services and products, contact the business or book. Bookings connect to customer records and the internal schedule; configured conversations, reminders and follow-up help the team manage the next step. A click alone does not create a customer record, and each external channel needs its own setup.
Can a salon or studio use one platform for bookings and customer records?
Nexis Business OS combines online booking with customer records and daily team work. A salon or studio can add services, review opening hours and keep appointments in the same workspace as customer information. Check availability and staff schedules before sharing the booking link.
Do I need a separate website to share my services and booking link?
Business OS includes a bio page for sharing your services, products, booking link and review links. Use that page in a social profile or send its address to customers. It includes an online store and booking in every plan, but it does not replace every function of a fully custom website.
Can a person take over a conversation from AI?
Business OS supports human handover. Decide which questions need a person, assign responsibility for the inbox and test the handover flow with your connected channel. AI assistance is not a guarantee that every reply will be correct.
Didn’t find an answer?
Write to us and a person from the Nexis team will reply.
